Labor & overtime intelligence platform
The problem

Weekly labor and overtime performance for a portfolio of senior living communities ran on a single 25 MB Excel workbook. It only refreshed when someone opened it, community and role logic was hardcoded inside Power Query, and anyone with the file could see every community and every employee. If the file broke, the process stopped.

What we built

We recoded the workbook's logic — penny for penny — into a governed Azure platform running entirely inside Heritage's own tenant, reusing every data feed they already had. No new integrations, no more refresh button.

  • Event-driven pipelines into a star-schema data mart — current minutes after each source drop
  • Entra ID SSO with row- and column-level security: a regional director can't retrieve another region's data
  • Managed identities end to end — no stored credentials, full audit trail on every query and budget change
  • An in-tenant AI analyst that answers questions from governed SQL and shows the query behind every number
  • Overtime flagged mid-week, while there are still two scheduling days left to prevent it

The problem

One executive ran 50+ meetings a week and tracked action items by copy-pasting them into OneNote — any meeting she missed made its to-dos invisible, and every decision needed a four-stage communication cascade drafted by hand. The CEO had the opposite problem: a full calendar and inbox, and no way to see before the day started which few things actually needed him.

What we built

Two platforms on one foundation, both running inside Heritage's own Microsoft 365 and Azure tenancy. The first pulls to-dos, decisions and risk-tagged insights out of meeting content and drafts the cascade in the right voice for each audience. The second reads the signed-in executive's own mail, calendar and chats and lays out a two-minute morning briefing — what needs him, why, and a drafted reply for each.

  • Delegated permissions only: the app registration holds zero secrets and zero certificates, and the tenant-wide mailbox roles were deliberately removed
  • It can stage a reply in your own Outlook Drafts and nothing more — no send permission exists, so auto-sending is structurally impossible
  • Occupancy is read from the finance team's own reporting view, so the briefing can't disagree with their numbers
  • Document search runs through Microsoft Graph, permission-trimmed — it can never surface a file the reader couldn't already open
  • If it can't cite a source for a claim, it doesn't make the claim — and if it isn't sure, it asks
