AI for senior living operators

Five platforms, four departments, one operator

Heritage Communities, a multi-site senior living operator, runs five platforms we built — labor and overtime intelligence, purchasing review, meeting-to-action, a CEO briefing and an HR chief of staff — all inside its own Microsoft 365 and Azure tenancy.

5Platforms for one operator
4Departments: finance, marketing, the CEO’s office and HR
26Communities on one labor platform

“Qaswa has delivered five platforms for us across four departments, all running inside our own Azure environment. What stands out is the discipline: every number ties back to the source, and nothing changes in our systems unless one of our people approves it.”

What we built for Heritage Communities

Labor Mart

Weekly labor and overtime performance for 26 communities, rebuilt from a 25 MB Excel workbook as a governed platform — overtime flagged mid-week, while there are still two scheduling days left to prevent it.

Spend Intelligence

Ten purchasing review rules applied to every invoice line — including the same item bought at different prices by different communities — ranked into one queue for finance.

Executive AI Platforms

To-dos, decisions and risk-tagged insights pulled out of an executive's meetings, and a morning briefing that shows the CEO which few things actually need him.

HR Chief of Staff

A briefing for HR leadership and a talent tracker that shows overdue onboarding milestones from Day 1 to Day 90, by community and by stage.

Every engagement earned by the one before it

Labor Mart led to the marketing team's platform, that led to the chief executive's own office and then to HR, and finance came back for a second platform.

Employee data handled with care

  • Everything runs inside the operator's own Microsoft 365 and Azure tenancy, behind its own identity provider
  • Labor Mart replaced a workbook that anyone with the file could open; access is now limited to approved users
  • HR data is aggregate-only: no employee name, ID or email ever leaves the server
  • The HR platform uses no resident or health data
  • Numbers are reconciled against the system they replace before anyone switches over

Questions from senior living operators

Have you built AI for senior living before?

Yes. Heritage Communities, a multi-site senior living operator, runs five platforms we built across finance, marketing, the CEO's office and HR.

Does our data leave our tenant?

No. The platforms we built for Heritage run inside Heritage's own Microsoft 365 and Azure tenancy, and HR records leave the server only as totals.

Do we need new integrations?

Usually not. Labor Mart reused every data feed Heritage already had — payroll, staffing and occupancy.
